Guide

How do you connect WhatsApp to your ERP or accounting software?

A customer writes on WhatsApp, a connection layer reads the answer from your software through the access path it offers, and the reply goes back on WhatsApp. This guide shows what to decide first, which access paths exist and how a setup runs, step by step.

  • Your software stays as it is
  • Read-first approach
  • Remote setup
Before you start

Settle three things first.

Almost every question in a setup comes back to these.

01

Which program and which edition

The product name, the edition or version, and whether it runs on your own server or in the cloud. The same program can offer different access paths in different editions.

02

Which access path it offers

A web service or API, direct database access, or scheduled exports. What is available depends on the vendor’s documentation and your licence.

03

Who should see what

Customers, sales reps, accounting and management need different information. Visibility is defined per person before anything goes live.

Access paths

Three ways to reach your data.

There is no single best path; the right one is the one your program and licence actually support.

API or web service

The vendor’s own interface (REST, SOAP, OData or similar). Usually the most stable across updates.

Often needs an application or licence request, and may have usage limits. Check the vendor’s documentation.

Direct database read

Queries run against the program’s database with a read-only account. Fast and flexible.

Vendor support and licence terms vary, table structures can change between versions, and writing directly is not recommended.

Scheduled export

The program exports Excel, CSV or XML on a schedule and the data is read from there. The simplest to start with.

Information is as fresh as the last export, so it suits reports and lists better than live balances.

Step by step

How a setup runs, in five steps.

  1. 01

    WhatsApp number and account

A WhatsApp Business Platform account is opened. In most cases your business’s existing number can be moved to it; we check this together.

  2. 02

    Identify the program and path

We confirm your program, edition and hosting, then choose the access path with you using the vendor’s documentation.

  3. 03

    Rules and permissions

A person is recognised by their phone number, and each role sees only what it is allowed to. Anything unclear is handed to your team.

  4. 04

    Test with real examples

Starting with read-only queries (stock, price, balance), we test real questions against a test or live copy and compare answers with the screen in your software.

  5. 05

    Go live and monitor

The number goes live for one flow first. Every question and answer is logged, and more flows are added step by step.

Your program

Find the page for your software.

Each page lists the editions, the access paths and a how-to specific to that program.

E-commerce and marketplaces

Meta Reva is an independent software company and is not an official partner of the vendors named on these pages. Product names belong to their owners.

FAQ

Questions on your mind, in brief.

The most common questions about setup, software and security.

Can’t find your answer?Write to us and we will reply the same day. Contact us
01Do I have to change my accounting or ERP software?

No. You keep using your own software; customers keep writing on the WhatsApp they already use. The connection sits between the two.

02Can software without an API still be connected?

Often, yes. Direct database access or scheduled exports can be alternatives, depending on what the vendor supports. We look at the options in the free consultation.

03Is my data copied somewhere?

No. Data stays in your software; only the information needed to answer a question is queried at that moment.

04How long does a setup take?

A single flow, for example stock and price enquiries, can usually go live within a few days. Wider setups are added step by step.

05What if the answer is not certain?

Answers come from the real data in your software, not guesses. When something is unclear, the conversation is handed to your team with its history.
